Cheltenham Borough Homes – Managing the council’s housing options service privacy statement

The council commissions Cheltenham Borough Homes (CBH) to manage our housing options service on our behalf. CBH is a non-profit making limited company that also manages and maintains our council housing stock on our behalf.

Why information is collected about you

CBH will collect personal data from you in order to fulfil a range of functions as outlined below:

  • Housing options advice
  • Homelessness advice and assistance and provision of temporary accommodation
  • Homelessness prevention activities
  • Facilitating settled housing solutions for housing applicants in accordance with Homeseeker Plus – the council’s housing allocations scheme
  • Financial inclusion, benefit take-up and income maximisation services

Who do we share the information with?

 As commissioner for housing services, sometimes a household may raise a complaint/concern to the council about services received from CBH. We would expect CBH to investigate the concern and respond directly to the applicant; however we may be copied into their response. This may include details of a household’s name, address and any specific concerns that have been raised by the household in relation to their housing complaint. This personal data may be received in paper form or by secure email, and will be retained for 12 months after our last contact with the household.  

The council will also become aware of your personal details if there is a threat of legal challenge to the council following a decision which has been taken by CBH’s Housing Options Team on the council’s behalf. Again, this may include a household’s name, address and any specific concerns that have been raised by the household in relation to their housing. This personal data may be received in paper form or by secure email, and will be retained for 12 months after the conclusion of (or threat of) legal action.
